What can be in it

  • Late clock-ins and no-shows (Pro): who clocked in late against their shift and by how many minutes, who was scheduled and never came in, and who was late more than once. People who are not on the schedule are compared with their own usual times instead (see below). Approved time off and days you marked closed are never counted as no-shows. Pick how many minutes count as late with Late after.
  • Scheduled vs actual (Pro): hours and cost against the schedule, the share of shifts started on time, early clock-ins, staying past the shift, leaving early, and hours worked with no shift.
  • Missing punches and still clocked in (Pro): missing clock-outs and clock-ins, automatic clock-outs, days over 12 hours, anyone still on the clock when the email is sent, and how many punches a manager changed.
  • Overtime, and overtime ahead (Pro): overtime and double time worked and what it cost over straight time, and who will go past your weekly overtime line this week if they work the rest of their schedule, or, for people with no shifts, their usual week.
  • Break problems (Pro): missed or short meals and rest breaks, breaks that ran long, and breaks your rules do not allow.
  • Waiting for you: punch adjustment requests, time-off requests and shift swaps that need an answer.
  • Hours and labor cost: hours worked, regular, overtime and paid time off, and labor cost, each against the period before.
  • Coming up: the next day or week on the schedule (with no schedule, roughly how many hours your team usually works in those days), who has no shifts yet, who is off, holidays, birthdays and work anniversaries.
  • Team and hiring: new applicants by job, new hires, people who left, and headcount.

The numbers are the same ones the Timesheets page and Reports show, so clicking through never shows a different figure.

If you do not use the schedule

You do not need shifts for the report to catch problems. For anybody who is not on the schedule, Kloqk learns their usual start time and the days they usually work from their own clock-ins over the last four weeks, then lists:

  • Later than usual: they clocked in more than 15 minutes after their usual time for that day of the week (or your Late after, if it is longer).
  • Missed a usual day: they worked that day of the week at least three of the last four weeks, and did not come in, on a day somebody else did.

Weeks they were on approved time off, days you marked closed and days nobody clocked in are left out, so a holiday never teaches Kloqk that somebody does not work Mondays. Somebody whose start time changes a lot has no usual time and is never called late. It takes about three weeks of clock-ins before there is a habit to go on. Once a person has shifts on the schedule, their shifts are used instead.

On the Free plan

Free includes the weekly report. The Pro sections still appear in it as a count, for example "2 late clock-ins and 1 no-show", with a link to see who. Daily and monthly reports are on Pro.

Questions people ask

Who can get report emails?

Owners and admins. Each sets their own reports in Settings > Email reports. Managers and employees cannot, because the reports include everyone's punches and pay.

How does Kloqk decide someone was late?

If they have a shift, it compares their first clock-in of the day with the start of their first shift that day; more than the minutes you set in Late after counts as late (the default is 5). If they are not on the schedule, it compares the clock-in with their usual start time for that day of the week, learned from the last four weeks, and lists it when it is more than 15 minutes later.

We do not schedule anybody. Is the report still useful?

Yes. Without a schedule it compares each person with their own usual times: who came in later than usual, who missed a day they usually work, and who is on pace for overtime going by their usual week. Missing punches, overtime, break problems and hours do not need a schedule at all.

Why is someone heading into overtime when they have not worked it yet?

Overtime ahead adds the hours they have worked so far this workweek to the shifts still on their schedule, or, if they have no shifts, to the hours they usually work on the days left. If the total passes your weekly overtime line, they are listed, so you can act before it costs you.

Is the weekly report really free?

Yes. Free gets the weekly report with Waiting for you, Hours and labor cost, Coming up and Team and hiring in full. The Pro sections show as a count.
