Shift templates and default shifts
Save the shifts your business runs, like Morning or Close, then put people on them in one click and give each person a default shift.
Save each shift you run once, with its hours and its days. Then pick it from Select shift under a person's name and Kloqk fills every day of the week that shift is worked.
Create a shift
- In the sidebar, click Schedule. The Shifts section is at the top of the page.
- Click Create your first shift (or New shift once you have one). The Your shifts window opens.
- Type a Name, such as Morning or Close.
- Enter the Usual start and Usual end. Under the times, Kloqk shows how long the shift is. An end earlier than the start makes it an overnight shift that ends the next day.
- Under Days worked, tap each day, or use Weekdays, Weekend or Every day.
- If one day has different hours, change it under Hours for each day. A day you leave alone follows the usual hours, and Use usual hours puts a changed day back.
- Optional: enter a Lunch and choose Paid lunch, and pick a Color.
- Click Add shift.
Put people on a shift
- Under a person's name on the grid, open Select shift and choose the shift.
- Kloqk adds it on each day of the week on screen that the shift is worked. Days the business is marked closed and days the person already has a shift are left as they were, and a message says how many.
To put a saved shift on just one day, click the + box in that cell and click the shift's name at the top of the box. That ignores the shift's days and uses its hours for that weekday.
Give someone a default shift
- In the sidebar, click Employees and open the person.
- On the Overview tab, find Shift and choose the shift they normally work.
- Kloqk saves it and adds that shift for the rest of the current week, from today on.
Each week after that, open the schedule and click Fill from default shifts in the Shifts section. Everybody with a default shift is put on it for the week on screen. The button only appears once at least one person has a default.
Change or remove a shift
- Click the shift's card in the Shifts section, or click Edit shifts.
- Change what you need and click Save shift. To take it off the list, click the trash icon beside it.
Good to know
- A shift is a stamp, not a link. Changing a saved shift only affects what you add from now on. Weeks you already built keep the hours they were given, including weeks already worked and paid.
- A removed shift is gone from the list, but shifts already on the schedule keep their name and color.
- A default shift never fills future weeks by itself. Use Fill from default shifts each week, or fill forward.
- Scheduling is on every plan, including Free.
Questions people ask
If I change a shift's hours, does last week's schedule change?
No. Saved shifts only shape what you add from now on. Every shift already on the schedule keeps the hours it was given.
Can a shift have different hours on Saturday?
Yes. In the shift's window, change Saturday under Hours for each day. The other days keep the usual hours.
Why did Select shift skip some days?
It leaves alone any day the person already has a shift on and any day the business is marked closed, so nobody is doubled up.
Does a default shift schedule people automatically every week?
No. It fills the rest of the current week when you choose it. After that, click Fill from default shifts on each new week, or use Fill forward.
