Import and export the schedule as a spreadsheet

Download a week as a CSV, edit it in Excel or Google Sheets, and upload it back to replace that week's schedule.

Click Export to download the week as a CSV, edit it in Excel or Google Sheets, then click Import to upload it. The upload replaces the week that is open on screen.

Export the week

  1. In the sidebar, click Schedule and go to the week you want.
  2. Click Export in the bar above the grid. A CSV file downloads.

The file has one row per person: Employee, Employee ID, then six columns for each day: Start, AM/PM, End, AM/PM, Lunch and Paid lunch. A person with two shifts on one day gets a second row. An empty week exports with the first row filled in as an example.

What each column accepts

Start and EndA bare number is an hour, so 8 is 8:00 and 8.5 is 8:30. 0830 and 8:30 also work.
AM/PMAM or PM beside each time. Leave it blank if you write 24-hour times.
Lunch:30 and 30 both mean half an hour. 1:50 is an hour and fifty minutes. Blank means none.
Paid lunchY or N. Blank uses the setting in Settings > Payroll.

AM/PM has its own column because a cell like "9:00 AM" is what makes Excel turn times into dates it then saves in a form nobody can read.

Import the file

  1. Save your edited sheet as a CSV.
  2. On the schedule, go to the week you want to fill, then click Import.
  3. Drop the file on the Import a schedule from a file window, or click to choose it.
  4. Check the preview: how many people are in the file, how many shifts will be scheduled, and any cells that could not be read.
  5. Click Replace followed by the week's dates.

Fixing problems

Each problem is listed by row, column letter, the value found and what is wrong with it. Click Download the file with the problems marked to get your file back with an Errors column added, fix the cells, and upload it again.

Good to know

  • The file always goes into the week open on screen, whatever week it was exported from. If the file came from a different week, the preview says so before anything is saved.
  • An import replaces that whole week. That is what makes a row you deleted in Excel disappear from the schedule, and it is why the same file uploaded twice does not double anybody.
  • Shifts on days the business is marked closed are skipped, and the result says how many.
  • Add your people before importing. Rows are matched to employees by name or employee ID.
  • Files over 2MB are refused. Save as CSV, not as an Excel workbook.
  • Upload history keeps every file anybody has uploaded, with who uploaded it and when. Download one to see exactly what was sent, or to put an earlier week back.

Questions people ask

Does importing add to the shifts already on the week?

No, it replaces the whole week that is open on screen. Other weeks are not touched, and hours already worked do not change.

Can I use 24-hour times?

Yes. Type the time in Start or End and leave the AM/PM columns blank.

How are rows matched to my employees?

By the name as it appears on your roster, or by employee ID. Add people to Kloqk before importing their shifts.

Can I see who uploaded last week's schedule?

Yes. Click Upload history on the schedule. Every upload is kept with the person, the time, the result and the file itself.
