Add employees

Add people one at a time with just a name, or import your whole roster from a CSV file exported from payroll or a spreadsheet.

Go to Employees and click Add employee. A first and last name is enough to put somebody on the time clock; everything else can wait. For a whole roster, use Bulk import with a CSV file.

Add one person

  1. In the sidebar, click Employees.
  2. Click Add employee.
  3. Type their First name and Last name.
  4. Click Add employee at the bottom of the panel.

Want to fill in more now? Click Add employment details before you save. You get:

  • Nickname for the time clock (optional), with Show this on the time clock. Only the clock uses it; timesheets, reports and payroll keep the full name.
  • Email. Optional for the office clock. Needed for anyone who will sign in.
  • Phone, Employee # (click Assign to use the lowest unused number), Payroll ID, Hire date, Job title, Date of birth.
  • Overtime status: Non-exempt (owed overtime) or Exempt (no overtime).
  • Role: Employee, Manager, HR or Admin.
  • Classification, Department, Emergency contact and Address.
  • Kiosk PIN (4 digits). You can also set PINs for everyone at once later.
  • Works at: tick each location they can clock in at.
  • Pay rate: Rate and Type (Hourly or Salary). Only shown to people allowed to change pay.

Import a list from a file

  1. On Employees, click Bulk import.
  2. Click Download a template if you want our column layout, or use the export you already have from payroll or another app.
  3. Drop the file on Drop your CSV here, or click to choose it.
  4. Check the preview, then click Import.

Only a first and last name column is required. Kloqk recognizes common headings like "First Name", "Employee First Name", "Surname", "Wage" or "Employee ID", and reads files separated by commas, semicolons or tabs. Rows that cannot be imported are listed with the reason.

Change or deactivate someone

Click a person's name to open their page, then Edit. When somebody leaves, use Deactivate on the Employees list. They disappear from the clock but their hours stay on every timesheet and report. Reactivate brings them back.

Good to know

  • Your own record is created when you sign up. Add at least one more person before the setup steps move on.
  • Employees are unlimited on every plan, including Free.
  • An employee number must be unique within your business. If a number is taken, the form names who holds it.
  • Giving someone the Manager, HR or Admin role, or ticking a field location under Works at, needs an email: they get an invitation to sign in when you save. See Invite employees to log in.
  • A file over 2 MB is refused. Split it, or check it is a CSV and not a spreadsheet file.

Questions people ask

Do I need my employees' email addresses?

Not for the Office Time Clock. Names and a PIN are enough. You only need an email for people who sign in, such as managers, admins or crews punching from their phones.

Can I import employees from my payroll provider?

Yes. Export a CSV from payroll, then use Employees > Bulk import. Only first and last name columns are required, and common column names are recognized.

What happens to hours when I deactivate someone?

Nothing is deleted. They come off the time clock, but everything they worked stays on timesheets, reports and exports.

Does adding more employees cost more?

No. Kloqk is priced by location, not by headcount, and Free has unlimited employees at one location.
