Create shifts on the schedule

Add, change and remove shifts on the weekly schedule, including lunches, overnight shifts and days the business is closed.

Open Schedule, click the + box in a person's row under the day, enter a start and end time, and click Add. The shift appears as a colored block with its paid hours.

Add a shift to one day

  1. In the sidebar, click Schedule. The page opens on the current week and shows the dates and the total hours scheduled.
  2. Use the left and right arrows at the top right to move to another week.
  3. Find the person's row and click the + box under the day you want.
  4. If you have saved shifts, they are listed at the top of the box. Click one to put it on that day with its hours for that weekday. Otherwise, type your own times below or your own times.
  5. Enter the start time and the end time.
  6. To add a lunch, type it in the lunch box: 30 or :30 is half an hour, 1:50 is an hour and fifty minutes.
  7. Once a lunch is entered, a dropdown appears. Leave it on Paid (setting) or Unpaid (setting) to follow Settings > Payroll, or pick Paid or Unpaid for this one shift.
  8. Click Add.

Copy the hours from earlier in the week

If the person already has a shift earlier in the same week, the box shows a button such as Same as Mon with those hours under it. Click it to fill the times in, then click Add.

Change or remove a shift

  1. Click the shift block to open it.
  2. Change the times or the lunch and click Save.
  3. To delete it, hover over the block and click the small X (Remove this shift).

To start one person's week over, click Clear schedule under their name. Kloqk asks first and nobody else's shifts are touched.

Overnight shifts

Type an end time that is earlier than the start, for example 10:00 PM to 6:00 AM. Kloqk reads it as ending the next day and tells you how long the shift is. The shift stays on the day it starts, with a moon and the next day's name beside the times. The next morning's column shows it again with a dashed border so whoever reads that day can see who is in the building. Its hours are counted once, on the day it started.

A shift that would only make sense as more than 16 hours overnight is refused. That is usually 9:00 to 5:00 with the PM missing.

Close the business for a day

  1. Under the date at the top of a column, click Mark closed.
  2. The day now reads Closed and nobody can be scheduled on it. Click Closed again to reopen the day.

Good to know

  • Scheduling is included on every plan, Free too.
  • The hours on each block are paid hours. If lunch is unpaid, it is taken off. The line under the grid states your current lunch setting and links to Settings > Payroll. A lunch with a star has its own paid or unpaid choice set on that shift.
  • Projected payroll at the top shows the week's gross wages and the total cost with the employer's share of payroll taxes. Both are estimates for planning, and only people allowed to see pay see them. A person with no pay rate shows no rate.
  • With more than one location, tabs above the grid show one site's people at a time.

Questions people ask

Is scheduling free?

Yes. The schedule, shifts, copying weeks, fill forward, the CSV import and export and the printable PDF are all on the Free plan.

Can one person have two shifts on the same day?

Yes. After adding the first shift, the + box is still under it. Click it and type the second shift's times.

Why does a 9 to 5 shift show 7h30?

Your lunches are set as unpaid, so a 30 minute lunch comes off the hours. Change the lunch setting in Settings > Payroll, or set Paid on that one shift.

Does a shift clock anybody in?

No. A shift is the plan. Hours come from the time clock or from hours you enter on the timesheet.
