Overnight shifts that run past midnight
See how Kloqk counts a shift that crosses midnight, choose whether its hours stay on the start day or split at midnight, and edit it.
A shift belongs to the day it started, with everything in it: a shift from 10 PM to 6 AM is one shift on the first night, and its breaks and lunch come off its hours. If your payroll needs each calendar day's hours, you can choose to split the hours at midnight instead. The punches themselves never change.
Choose how overnight hours count
- Go to Settings > Payroll.
- Under Overnight shifts, choose:
- Count on the day the shift starts: one shift on one day, breaks and lunch included. Most time clocks work this way, and daily overtime rules expect it. This is the default.
- Split at midnight: hours before midnight count on the first day and hours after on the next, everywhere: timesheets, reports, exports and overtime.
- Click Save beside the section heading.
Kloqk never records a clock-out at midnight on anyone's behalf. Splitting is done in the numbers only.
How it looks on the timesheet
- A clock-out on the next morning carries a small Next day tag.
- With Split at midnight, the morning's hours show on the next day with a from tag naming the day the shift started.
Edit an overnight shift
- On Timesheets, click Edit times on the person.
- Click Edit on the day the shift started. (With split hours, Edit on the next day opens the start day for you.)
- Each punch has a day beside its time. Times after midnight carry the next day's date. When you type a clock-out earlier than a clock-in that began at noon or later, the next day is chosen for you.
- Click Save changes.
Overnight shifts elsewhere
- Time clock: somebody who clocked in last night is still clocked in this morning and is offered Clock Out.
- Bulk hours: type 5p-1a or 10p-6a. The out lands on the next morning.
- Schedule: a shift like 10:00 PM to 6:00 AM is worth 8 hours on the night it starts, and it is also shown, dashed, on the next morning so whoever reads that day sees who is in. It is only counted once.
Good to know
- A shift cannot be longer than 24 hours. A clock-out that arrives later does not close the old clock-in; both are flagged for you to fix. See Missing clock-outs.
- If you split shifts at midnight by hand in the past, those punches stay as they were typed.
- On the schedule, a shift that would run over 16 hours because the PM was left off is refused, so 9:00 to 5:00 is not read as an overnight shift by mistake.
Questions people ask
Which day do overnight hours count on?
By default, the day the shift started. You can choose Split at midnight in Settings > Payroll > Overnight shifts.
Does Kloqk add a clock-out at midnight?
No. Splitting is done in the numbers only. The punches stay exactly as recorded.
How do I fix an overnight shift?
Edit the day the shift started. Set the clock-out's day to the next day.
Does splitting at midnight change overtime?
It can. With a daily overtime rule, each calendar day's hours are counted separately when you split.
