Set your overtime rules
Choose weekly, daily, double-time and seventh-day overtime, start from federal or state law, and mark exempt staff who get no overtime.
Kloqk works out overtime on every timesheet from your rules: 1.5 times after a number of hours in the week, and optionally after a number of hours in a day, double time, and a seventh-day rule. Set them in Settings > Payroll under Overtime rules.
Set your overtime rules
- Go to Settings > Payroll and jump to Overtime.
- Start from a preset: your state's law (for example Use California law), Federal (40 a week), California, or Straight time for no overtime.
- Adjust any of the four settings:
- 1.5x after, per week: 40, 44, 45 or 48 hours, or not applied.
- 1.5x after, per day: 8, 9, 10 or 12 hours, or not applied.
- 2x after, per day: 10 or 12 hours, or not applied.
- 7th consecutive day at 1.5x (2x past 8 hours).
- Click Save beside the section heading.
If nothing is set, a red line says no overtime is being calculated, and the timesheet warns that hours over 40 a week are not being flagged.
Set when your workweek starts
Weekly overtime is counted over your workweek, not your pay period. Under Pay schedule, check Workweek starts on. When a workweek crosses into the next pay period, its overtime lands in the period that holds the end of the week, because the hours past the limit are the last ones worked.
How the rules combine
Hours are never counted as overtime twice. Daily limits are applied first, then the seventh-day rule, then the weekly limit on whatever is still regular time. The timesheet shows the rule in use as Overtime: followed by a short description, with Regular and OT columns.
Exempt staff
- Open the person on Employees and click Edit.
- Set Overtime status to Exempt (no overtime).
- Click Save changes.
Their hours are all counted as regular. Salaried staff who are not exempt are owed overtime on top of their salary. See Salaried employees.
A location in another state
In Settings > Locations, a location can follow its own state's law for breaks and overtime instead of your company rules. People are paid by their home location's rules. A second location is part of Pro.
Good to know
- Overtime rules are free on every plan.
- Overtime is paid at 1.5 times (or 2 times) the pay rate in force on the day it was worked.
- Approved paid time off is paid at the base rate and does not count toward overtime.
- With a daily rule, how overnight hours are counted matters. See Overnight shifts.
- Outside the US, there are no state buttons, and the defaults are a starting point, not a rule we know applies to you.
- Kloqk's overtime figures are a calculation from your punches and rules, not legal or payroll advice.
Questions people ask
How does Kloqk calculate overtime?
From the rules in Settings > Payroll > Overtime rules: weekly, daily, double time and seventh day, applied to each person's punches without counting any hour twice.
Can I set daily overtime like California?
Yes. Click California, or set 1.5x after 8 hours per day and 2x after 12 hours per day yourself.
How do I stop overtime for a manager on salary?
Set their Overtime status to Exempt (no overtime) on their employee record.
What if my pay period does not match my workweek?
Overtime is still counted by workweek. It lands in the pay period that holds the end of that week.
