The Payroll report
See what a period cost, scheduled against actual, with wages by kind and estimated employer contributions, then download your payroll file.
Reports > Payroll shows what a period cost against what was scheduled, then breaks the money down by person: wages, overtime, paid time off and estimated employer contributions. Your payroll provider's file is one click from here.
Open it
- In the sidebar, click Reports.
- Choose the Period. It opens on your last completed pay period.
- Pick a Location if you have more than one.
- Click Payroll.
Scheduled against actual
The top of the page has a bar for the scheduled cost and one for the actual cost, with the hours beside each, and how much more or less than scheduled it came to. Below is a row for each person with scheduled, actual and the difference. Click a person's row to see their figures broken down.
Where the money goes
This section lists wages by kind (regular wages, overtime, paid time off), then each employer contribution for your country at the rates in Settings > Payroll, and employee deductions as an estimate. Contractors carry no employer contributions.
- The rate column shows one rate, or both rates when a raise fell inside the period (for example $20.00/hr → $22.00/hr), or a yearly figure tagged Salary.
- A contribution line you added for only some people says how many it covers, such as 3 of 9 people.
Download
- Your provider's button comes first, such as Gusto file or Paychex Flex upload file. It appears once a provider is chosen in Settings > Payroll. See exporting to your provider.
- Spreadsheet downloads hours per person as a CSV.
- PDF downloads the report on landscape pages, one location per page, then an All locations page.
- Fields adds up to three employee details beside each name, like Payroll ID or department.
Good to know
- These figures are estimates for budgeting. Real withholding depends on each person's W-4 and their pay so far this year, which your payroll provider has. Use the report to see the shape of a period, not to file anything.
- Each day is priced at the pay rate in force on that day.
- Somebody who left in the period, or was on paid leave for all of it, is still listed.
- The page needs permission to see pay. Without it, the report says pay is not visible to your role.
- The Payroll report and exports are on every plan, including Free. Free shows the last 90 days.
Questions people ask
Are the tax figures exact?
No. They are estimates at the rates in Settings > Payroll. Withholding depends on details only your payroll provider has.
Why is someone who quit on the report?
They worked or had paid leave in the period, so they are owed pay for it.
Can I add a contribution that isn't built in, like workers' compensation?
Yes. Add your own line under Contributions in Settings > Payroll. It appears as a column on this report, its PDF and the exports.
How do I get the file for my payroll provider?
Choose your provider in Settings > Payroll. Its file button then appears first on this report.
