Export hours to your payroll provider
Pick your payroll provider in Settings, then download a file shaped for Gusto, ADP, QuickBooks Payroll, Rippling and others from Reports.
Choose your provider in Settings > Payroll. From then on, Reports > Payroll shows a button for that provider's file, such as Gusto file, ready to import.
Choose your provider
- In the sidebar, click Settings, then the Payroll tab.
- In Payroll provider, open Provider and pick yours: Gusto, ADP (RUN / Workforce Now), Paychex Flex, QuickBooks Payroll, Rippling, Paylocity, Square Payroll, OnPay or Justworks.
- Click Save beside the heading.
Using Paychex Flex? It needs your client ID first. See the Paychex Flex upload.
Download the file
- In the sidebar, click Reports, then Payroll.
- Set the Period. It opens on your last completed pay period. If you have more than one location, pick All locations or one site.
- Click the provider button, for example Gusto file. It is the first button in the row.
- Import the downloaded CSV in your payroll provider.
What each file holds
| Provider | Columns |
|---|---|
| Gusto | First name, Last name, Regular hours, Overtime hours, Double overtime hours, PTO hours, Holiday hours |
| ADP | File #, Employee Name, Reg Hours, O/T Hours, PTO Hours |
| Paylocity | Employee ID, Employee, Regular hours, Overtime hours, PTO hours |
| QuickBooks Payroll, Rippling, OnPay, Justworks | Employee, Regular hours, Overtime hours, PTO hours |
| Square Payroll | Employee, Regular hours, Overtime hours |
File # and Employee ID come from each person's Payroll ID, which you enter on their employee record. Your provider prices the hours, so these files carry hours, one row per person.
The Spreadsheet button
Spreadsheet beside it downloads hours per person for any provider, or if you chose Other / not sure: Employee, Worked, Break, Lunch, Regular, Overtime and DoubleTime, with the period at the bottom.
Good to know
- The file holds exactly what the screen showed: the same dates and the same location. A file for one location has its name in the file name.
- PTO hours are the paid time off hours that fall inside the period, not the whole request.
- Somebody who left during the period is still in the file for the hours they worked.
- Holiday hours in the Gusto file are always zero for now.
- Fix missing clock-outs before exporting. A clock-in still open after 24 hours counts for nothing until it is fixed. See missing clock-outs.
- Payroll exports are on every plan, including Free. Kloqk does not run payroll; your provider does.
Questions people ask
My provider isn't listed. What do I export?
Choose Other / not sure, then use the Spreadsheet button on Reports > Payroll. It has regular and overtime hours per person in a plain CSV.
Why don't I see a provider button on the Payroll report?
No provider is chosen yet, or it is set to Other / not sure. Pick one in Settings > Payroll and save that section.
Can I export just one location?
Yes. Pick the location in the Location dropdown at the top of Reports before clicking the button.
Does the file include pay rates?
No. Provider files carry hours, and your provider applies the rates it holds.
