Reports by location

Narrow any report to one site or job site, or see hours and cost worked at each location, with overtime charged where it happened.

There are two ways to look at locations. The Location dropdown narrows any report to one site's people. The By location report shows the hours and cost worked at each place, by where every punch happened.

Narrow a report to one location

  1. In the sidebar, click Reports.
  2. Open Location at the top. It lists All locations, each of your sites, and each job site with (Field) after its name.
  3. Choose one. Summary, Detailed, Payroll and Scheduled vs actual now show only those people, and the location's name appears beside the report title.

A site shows the people whose home location is that site, so each person is under exactly one site and the sites add up to the business. A job site shows the people assigned to it.

The choice carries into every download on the page: the Spreadsheet, the PDF and your payroll provider's file hold only that location, and its name is in the file name.

The By location report

  1. In Reports, choose the Period.
  2. Click By location.

The first table has a row per location with Worked, Regular, Overtime and Est. cost (and Double, under rules with double time). The second, By person, split by location, shows each person's hours and cost at each place they worked, so a floater's week reads as it happened.

Pick one location in the dropdown and the report narrows to that row and the hours each person worked there.

How overtime is placed

How much overtime a person is owed is worked out once, by their own pay rules. The By location report only decides where it lands: overtime is charged to the site where the hours past the limit were actually worked.

Good to know

  • Unknown location is punches that carry no site, such as history from before punches were stamped, or a clock used from an admin's own screen.
  • A person with no pay rate shows no rate set beside their name.
  • The By location report has no download buttons. For files, use Summary or Payroll with the Location dropdown.
  • It shows money, so it needs permission to see pay.
  • More than one site is part of Pro ($29 per location per month). Job sites are counted separately and do not add to your bill.
  • Timesheets, Employees and the schedule have location tabs that work the same way as the dropdown.

Questions people ask

What's the difference between the Location dropdown and the By location report?

The dropdown narrows a report to the people based at a site. By location shows the hours worked at each place, wherever the person is based.

A worker splits time between two stores. Where do their hours show?

On the dropdown, under their home store. On By location, split across both stores by where each punch was made.

Does my payroll file follow the location I picked?

Yes. The Spreadsheet, PDF and provider file all hold the location shown on screen, and its name is in the file name.

Do job sites cost extra?

No. Only sites count toward the per-location price. Job sites do not.
