Compare scheduled hours with actual hours
See who worked more or less than scheduled, what it cost, and why, on the schedule, the Payroll report and the Scheduled vs actual report.
Kloqk compares the schedule with the clock in three places: under each name on the schedule, at the top of the Payroll report, and in the Scheduled vs actual report, which prices each cause of the difference.
On the schedule
Once somebody has worked hours in the week, a line under their name reads, for example, Worked 41h of 38h. When they are over by more than a small margin (15 minutes unless it has been changed for your business), the line turns amber and adds how much over. That is usually where overtime comes from.
The Scheduled vs actual report
- In the sidebar, click Reports.
- Pick the Period, and a Location if you have more than one.
- Click Scheduled vs actual.
Under Where the difference came from, a short summary is followed by each cause with its dollar amount and the people behind it:
- Worked without a scheduled shift
- Stayed past the scheduled end
- Clocked in before the scheduled start
- Overtime premium
- Scheduled but not worked (shown as a saving)
- Breaks, rounding and everything else
Click a name to open that person. If anybody has a shift over twelve hours, a box lists them. That is almost always a missed clock-out, and fixing it on the timesheet changes the numbers on the page. Open the schedule to act on this takes you back to the schedule.
On the Payroll report
Reports > Payroll opens with Scheduled against actual: a bar for the scheduled cost and one for the actual cost, the difference in dollars and percent, and a row for each person with their scheduled, actual and difference. See the Payroll report.
Good to know
- A day's plan is every shift on it, less unpaid lunch, priced the same way the schedule prices it, with overtime worked out by the rule each person is paid by.
- Both reports show money, so they need permission to see pay.
- Scheduling and this comparison are on every plan, including Free. Free shows the last 90 days.

Questions people ask
Why does one person show hundreds of dollars over?
Check the Shifts over twelve hours box. A forgotten clock-out is the usual cause, and correcting it on the timesheet fixes the report.
Is a no-show counted?
Yes. Scheduled but not worked is listed as a cause and shown as a saving against the plan.
Does it work for one location?
Yes. Pick the location in the Location dropdown at the top of Reports and the comparison covers that site's people.
