Edit punches and times on a timesheet

Fix a wrong clock-in, add a missed punch or remove an extra one, with the old and new times and a reason kept on record.

Open Timesheets, click Edit times on the person's row, then Edit on the day. Change, add or remove punches, add a reason, and save. Nothing is quietly overwritten: who changed what, and why, stays on the record.

Change a day's punches

  1. Click Timesheets in the sidebar. Use the Pay period menu to pick the period.
  2. Click Edit times on the person's row. Their days open underneath.
  3. Click Edit on the day. The punches for that day appear.
  4. For each row, set what it is (Clock in, Break start, Break end, Lunch start, Lunch end or Clock out) and the time.
  5. Click Add punch for a missing one, or Remove punch for one that should not be there.
  6. Type a Reason (optional), for example "forgot to clock out".
  7. Click Save changes.

Kloqk checks the day reads as real shifts before saving. It warns you about a clock-out with no clock-in, a shift with no clock-out, or a shift longer than 24 hours, and points at the row.

Type hours for a day with nothing on it

Under the person's days, use Type this person's hours for a day (or Add or fix punches on another day), pick the date and click Open. Then add punches as above. You do not need the time clock running to do this.

See what was changed

  • Each changed day shows a red line under it: what changed, by whom, and the reason.
  • Below the timesheet, the period's adjustments are listed, with a link to the Full adjustments report.
  • On a person's page, Timesheet changes lists every change to their hours.
  • In Reports, the Detailed report has Show edits to print every change under its day.

Approve fixes employees ask for

At the end of a shift, the clock asks "Does this look right?" and staff can tap Not right? Ask for a correction. Their requests appear at the top of Timesheets under corrections requested at the clock. Click Approve to change the punch (it is recorded with their reason) or Deny, with an optional note.

Good to know

  • Who can edit is the Fix and adjust punches row in Settings > Permissions. Managers have it by default.
  • Timesheets shows the current pay period and the four before it. Older periods are in Reports.
  • A shift that runs past midnight is edited on the day it started. See Overnight shifts.
  • Edited punches are marked with a star in the Detailed report.
  • To fix a whole period at once, use Enter hours in bulk.

Questions people ask

Can I edit an employee's timesheet?

Yes. Timesheets > Edit times on their row > Edit on the day. Change, add or remove punches and save.

Is the original time kept when I change a punch?

Yes. The change, who made it and the reason are kept and shown under the day, on the employee's Timesheet changes and in the adjustments report.

Can employees edit their own time?

No, but they can ask for a correction at the clock. You approve or deny it on the Timesheets page.

How do I add a punch for a day with no hours?

Use Type this person's hours for a day under their days, pick the date, click Open and add the punches.
