Add a manager and choose what they can do
Make someone a manager or admin, send their login, and decide exactly what each role can see and change in Settings, Permissions.
A person's role is set on their employee record: Employee, Manager, HR or Admin. Managers and admins sign in to use the dashboard, and you decide what each role can do in Settings, Permissions.
Make someone a manager
- Go to Employees and open the menu on the person's row, then choose Edit.
- Set Role to Manager (or Admin or HR).
- Make sure the email field has their address. The label changes to Email (needed for their login), because a manager needs to sign in to use anything you give them.
- Click Save changes.
When you save, they're emailed an invitation to set up their login. Until they accept it, the role is set but they can't open anything. Manager and admin invitations are free on every plan.
If the invitation didn't arrive
On the Employees page, the Signup status card lists everyone waiting to sign in, with Send invite or Resend beside each name. Resending cancels the old link and sends a new one.
What each role means
- Owner: everything, including billing and closing the account.
- Admin: everything except billing, unless you change it. HR gets the same access as Admin.
- Manager: runs a shift. By default they can fix punches, build the schedule, add people and reset PINs, approve time off, run reports, handle hiring and punch people in or out at the time clock. They can't see pay unless you allow it.
- Employee: their own hours and their own record, nothing about anybody else.
Change what managers and admins can do
- Go to Settings and click the Permissions tab.
- Find the row for the thing you want to change, such as See pay rates and export payroll or Remove employees.
- Tap the pill in the Manager or Admin column. Green is yes, orange is no. It saves as you go.
The rows include: See the roster and hours, Fix and adjust punches, Build and change the schedule, Add people and reset PINs, Invite staff to their own login, Run reports, Approve time off, Message the team, Open and retire time clocks, Punch employees in and out at the time clock, Add and change job sites, Hiring and applicants, Employee documents, See pay rates and export payroll, Change pay rates, Remove employees, Change business settings, Change these permissions, and Billing and the subscription.
Rules you can't change
- A padlock means that permission is fixed for the role. Billing is the owner's alone, and a manager can never change the permissions table.
- Only the owner can change the Admin column.
- Nobody can grant a role at or above their own, so a manager can't promote themselves or anyone else.
- Change pay rates needs See pay rates turned on too.
Good to know
- Pay is off for managers by default. With it off, rates, pay history and labor cost figures aren't sent to their screen at all, not just hidden.
- Billing never appears for a manager. Settings appears only if you allow them to change business settings.
- Every change to the permissions table is recorded in Settings history, with who changed it.
- Every punch a manager makes for someone else at the time clock records who made it. See Manager mode on the time clock.
Questions people ask
Can my manager see what everyone gets paid?
Not unless you allow it. See pay rates and export payroll is off for managers by default. Turn it on in Settings, Permissions if you want them to see it.
Does adding a manager cost extra?
No. Manager and admin invitations are free on every plan, and Kloqk is never priced per user.
I made someone a manager but they can't get in. Why?
They need to accept the emailed invitation and set up their login first. Until then the role is saved but they can't open anything. Use Resend in the Signup status card on the Employees page if the email went missing.
What's the difference between HR and Admin?
None in what they can do. HR gets the same access as Admin.
Can a manager give themselves more permissions?
No. Managers can never change the permissions table, and nobody can grant a role at or above their own.
