What employees see on their phone

Learn what your staff see when they sign in on their own phone: clocking in, their hours, time off, the calendar, documents and their PIN.

When an employee signs in with their own login, they land on their own page, built for a phone. It has five tabs along the top: Clock, Hours, Time off, Calendar and More.

Employees don't need a login to use the Office Time Clock; a PIN is enough. A login is for punching from their own phone, seeing their own hours and asking for time off. To send logins, see Invite employees to log in.

How they get there

  1. They accept the invitation email and set a password.
  2. After that, they sign in at your company's Kloqk address on their phone. Kloqk sends them to their own page, not the dashboard.

Clock

  • Punch buttons such as Clock In, Start Break, Start Lunch and Clock Out, with how long they've been on the clock. Punching from a phone is the Field Time Clock; see Field Time Clock.
  • Your location: a panel that shows where the phone thinks they are and whether that's inside a job site. They tap Show my location to check, and Refresh to check again. If they're outside, it says how far they are from the nearest site.
  • Today: each punch they made today and where it was made.

If location is blocked on the phone, the panel turns into step-by-step instructions for iPhone and Android. Their location is read only when they punch or tap Show my location, never in between. See Phone location permissions.

Hours

  • This week: hours worked this week, split into Regular and Overtime.
  • Upcoming shifts: the shifts you've scheduled for them.

Time off

  • Their Vacation available and Sick available balances, in hours.
  • Request time off: they pick a type (Vacation, Sick, Personal or Unpaid), the hours, a start and end date, and an optional note, then tap Submit.
  • My time-off requests: each request with its status.

Calendar

The office calendar for the month, the same one you see in the dashboard. See The office calendar.

More

  • Documents: anything you've sent them to sign. A dot on the More tab means something is waiting. They type their full name and tap Sign.
  • Kiosk PIN: they can set or change the 4-digit PIN they use on the shared time clock, then tap Save PIN.

Good to know

  • Employee logins are part of Pro, $29 per location per month. Punching from a phone with GPS job sites is the Field Time Clock, part of Premium.
  • The page is in your account's language. See Language and branding.
  • Hours, time-off requests and documents on this page are the employee's own. They can't see anyone else's hours or pay.
  • Each tab has its own link, so the phone's Back button works and a tab can be bookmarked.

Questions people ask

Do my employees need an app?

No. It's a web page. They sign in from the browser on their phone.

Can employees see their hours on their phone?

Yes, once they have a login. The Hours tab shows this week's hours, split into regular and overtime, and their upcoming shifts.

Can an employee change their own PIN?

Yes. Under More, the Kiosk PIN section lets them set a new 4-digit PIN for the shared time clock.

Does my employee's phone track them all day?

No. The location is read only when they punch or tap Show my location, never in between.
