Documents and e-signatures

Write document templates, send them to employees to sign on their phone, and keep IDs, resumes and paperwork in each employee's file.

Click Documents in the sidebar to write templates your business hands out, like a handbook acknowledgment. Writing and keeping documents is free. Sending one to an employee to sign is part of Pro, $29 per location per month.

Write a template

  1. Click Documents in the sidebar.
  2. Under New template, type a name, for example "Employee Handbook Acknowledgment".
  3. Write the text. You can use placeholders: {{employee_name}}, {{company}} and {{date}}. They're filled in when the employee signs.
  4. Click Create template.

Your templates are listed under Templates.

Send a document to be signed (Pro)

  1. Under Send a document, choose the Template.
  2. Choose the Employee.
  3. Click Send.

On Free, this section reads Send a document to be signed with a lock, and a link to see what Pro includes.

How the employee signs

  1. They sign in on their phone and open the More tab. A dot on the tab means a document is waiting.
  2. Under Documents, they open it, type their full name and tap Sign.

The employee needs a login to sign. See Invite employees to log in and What employees see on their phone.

Track who has signed

The Sent documents table on the Documents page lists each document with the Employee, its Status and when it was Signed.

Keep files in an employee's record

Each employee's page has its own Documents tab for files like IDs and certificates.

  1. Go to Employees and open the person.
  2. Click the Documents tab.
  3. Choose a Type: Identification card, Resume, Job application, Onboarding, Certification or Other.
  4. Choose the File and click Upload.

Files are stored privately and only opened through short-lived secure links. When you hire someone from Hiring, their resume and application PDF are saved here automatically. See Review applicants and hire them.

Good to know

  • The Documents page needs the Employee documents permission. Managers don't have it by default; you can turn it on in Permissions.
  • Uploading files to an employee's record is free on every plan.
  • Read your templates through before sending. Kloqk fills in the placeholders but doesn't check the wording for your state.

Questions people ask

Can employees sign documents on their phone?

Yes, on Pro. Send the document from the Documents page, and the employee signs it from the More tab on their phone by typing their full name.

Is the Documents page free?

Writing templates and uploading files to employee records is free. Sending a document to be signed is part of Pro, $29 per location per month.

Where do I store a copy of an employee's ID?

Open the employee, click the Documents tab, choose Identification card as the type, pick the file and click Upload.

Can I see who has not signed yet?

Yes. The Sent documents table shows each document's status and the date it was signed.
