Use the office calendar
Add company events, holidays and meetings to one shared calendar that also shows birthdays and approved time off, free on every plan.
Click Calendar in the sidebar to see one month of everything going on: your events, holidays, birthdays and approved time off. Click Manage to add events. The office calendar is free on every plan.
Read the calendar
- Click Calendar in the sidebar.
- Use the arrows on either side of the month to go back or forward, or click the month's name to jump to another month.
- Use the Show filters to turn types on or off, such as Meetings, Birthdays, Holidays or Time off. Only the types in that month are listed.
- Click Print this view for a paper copy.
Where the entries come from
- Birthdays come from the Date of birth on each employee's record. You don't add them by hand.
- Time off shows approved requests.
- Holidays: click Add US holidays to add that year's US holidays in one go. Clicking it again doesn't add duplicates.
Add an event
- On the Calendar page, click Manage.
- Click Add event.
- Fill in Title and choose a Type: Company event, Meeting, Training, Deadline or Other.
- Pick the Date. Leave All day on, or turn it off and set Starts and Ends.
- Optional: add a Location.
- To repeat it, choose Repeats: Daily, Weekly, Monthly or Yearly, and an Ends on (optional) date.
- Click Add event.
To change or remove an event, find it under Events on the same page.
See it in Google, Outlook or Apple Calendar
- On Manage calendar, under Connect this calendar, click Get subscription link.
- Copy the link. In Google Calendar, go to Other calendars, Subscribe to calendar, From URL, and paste it.
Your calendar app checks the link again by itself, so new events show up there without another export. Anyone with the link can read the calendar, so if it's shared by mistake, click Rotate link; the old link stops working. You can also click Download .ics for a one-off file.
Bring in another calendar
Under Import a calendar, click Choose .ics file and pick a file exported from Google, Outlook or Apple. Everything already in Kloqk is kept, and importing the same calendar again updates those events instead of duplicating them.
Good to know
- The overview page shows a small version of the calendar, and so does the time clock. The time clock never shows time off, because the whole team reads it.
- Employees with a login see the calendar on the Calendar tab of their phone page. See What employees see on their phone.
- Managing the calendar needs permission to approve time off, which managers have by default.
Questions people ask
How do employee birthdays get on the calendar?
From the Date of birth on each employee's record. Add it there and the birthday appears each year.
Can I add US holidays automatically?
Yes. Click Add US holidays on the Calendar page. It adds that year's holidays and does not duplicate them if clicked again.
Can I see the office calendar in Google Calendar?
Yes. On Manage calendar, click Get subscription link and subscribe to it from URL in Google Calendar. Outlook and Apple Calendar work the same way.
Does the calendar cost extra?
No. The office calendar is free on every plan.
