The Detailed report: every punch
See every clock-in, break, lunch and clock-out day by day, with edits, missing punches and where each phone punch was made.
Reports > Detailed shows each person's punches one day per row: when they clocked in and out, their breaks and lunches, and the hours. It is the report to open when someone questions a total.
Open it
- In the sidebar, click Reports.
- Choose the Period, and a Location if you have more than one.
- Click Detailed.
Reading a day
Each person has a table with Date, In, Out, Break, Lunch, Worked, Regular and Overtime, and a total row at the bottom. Times are in your business's time zone, which the heading names.
- Two shifts, or two breaks, in one day stack inside the cell.
- Breaks and lunches show as a time range and their length, with how much was paid and unpaid under it.
- A star (*) marks a punch edited by a manager.
- missing in red means a clock-in with no clock-out, or the other way round.
- Red notes under Break or Lunch point out days that broke your break rules.
- An overnight shift sits on the day it started.
Where phone punches were made
For a punch from someone's phone, the line under the time names the job site and the distance from it:
- Warehouse · 40 m (inside) when the punch was inside that site's geofence.
- 300 m from Warehouse (outside) in amber when it was outside.
- Just the distance when the site has no geofence set.
Hover over that line to see how accurate the phone's GPS was. A punch made away from your job sites also shows the street address it came from, with a map link.
See what was changed
- Tick Show edits at the top right.
- Under each day, a red line lists every change to a punch on that day: what changed, from what, by whom and the reason given.
Long reasons are cut short on screen; hover to read all of it. The PDF prints them in full.
Download it
- PDF prints each person with their own table and lines for the employee's and manager's signatures and the date. If Show edits is ticked, the PDF includes the edits.
- Spreadsheet gives one row per punch, with the GPS site, the distance from it in meters, whether it was inside the geofence and the GPS accuracy.
- Fields chooses what shows under each name. Employee number and location are on by default.
Good to know
- The Detailed report's hours come from the same calculation as timesheets and payroll, so its totals match.
- Recording where phone punches happen works on every plan. Enforcing geofences on the Field Time Clock is part of Premium ($59 per location per month).
- To see changes listed by the day they were made rather than the day they affect, use the Adjustments report.
Questions people ask
What does the star next to a time mean?
A manager edited that punch. Tick Show edits to see what changed, who changed it and why.
How do I prove an employee clocked in at the job site?
Their phone punch shows the job site, the distance from it and whether it was inside the geofence. Hover for the GPS accuracy.
Why does a day say missing?
There is a clock-in with no clock-out, or the other way round. Fix it on the timesheet and the report updates.
Can employees sign the report?
Yes. The PDF gives each person signature and date lines for the employee and the manager.
