Enter hours in bulk for a whole pay period
Type a whole pay period of hours on one grid using shorthand like 9-5 l30, then review and accept them onto everyone's timesheets.
The bulk hours grid puts your people down the side and the pay period's days across. Type each day in shorthand like 9-5 l30, review, and accept. Kloqk turns it into ordinary punches and works out breaks and overtime from your own rules as you type.
Open the grid
- Click Timesheets in the sidebar.
- Click Enter hours in bulk.
- Pick the Pay period at the top. With more than one location, pick a location tab.
How to type hours
| Type | Means |
|---|---|
| 9-5 | 9:00 AM to 5:00 PM |
| 9-5 l30 | with a 30 minute lunch |
| 9-5 l30 b15 | and a 15 minute break |
| 7a-3:30p | times with am or pm |
| 7-11, 12-4 | two stretches in one day |
| 5p-1a | an overnight shift, ending the next morning |
| l12-12:30 | a lunch at stated times instead of a length |
| 8h | hours only, when you know the total but not the times |
Blank means off. Without am or pm, 5 to 11 are read as morning and 12 to 4 as afternoon, so 9-5 is nine to five. A lunch typed as a length is placed in the middle of the shift; whether it is paid comes from your settings, not from what you type.
Fill it faster
- Fill weekdays from the first day under a name copies that person's first day across the weekdays.
- Apply to everyone: type the hours under Hours to apply and click Apply. Only empty days are filled.
- Use the schedule fills days from your scheduled shifts.
- Copy last period brings last period's hours forward.
- Paste a block copied from a spreadsheet into a cell, and it fills across and down from there.
- Upload a timecard PDF reads a timecard report from another clock. See Upload a timecard PDF.
Review and accept
- Fix any cell marked in red. Hold the pointer over it to see what is wrong.
- Click Review and accept.
- Check the summary. A day that already had punches is replaced by what is shown; a day left blank has its punches removed. Only cells you changed are sent.
- Add a Reason (optional) and click Enter these hours.
The hours land on each person's timesheet straight away, marked as entered by you.
Good to know
- Totals in the grid use the same break, lunch and overtime rules as the timesheet, so they agree.
- A day whose existing punches do not form clean shifts is locked in the grid. Fix it in the timesheet editor instead. See Edit punches and times.
- A cell can show that a required break was short, using your break rules.
- Who can use the grid follows the Fix and adjust punches permission.
Questions people ask
Can I use Kloqk without a time clock?
Yes. Enter hours in bulk lets you type a whole pay period on one grid with no clock, punches or tablet.
How do I enter a lunch break?
Add l and the minutes after the times, like 9-5 l30. For a lunch at set times, type l12-12:30.
What if I only know the total hours?
Type the total with h, like 8h. Kloqk records it as a shift starting at 9:00 AM with that many hours.
Will it overwrite hours already on the timesheet?
Only for days you changed in the grid. The review screen says so before anything is saved.
