Upload a timecard PDF from another time clock

If you are moving from Redcort Virtual TimeClock, you can upload its Timecard Detail Report PDF. Kloqk reads every row exactly, drops the hours into the bulk hours grid for you to check, and nothing is saved until you accept.

Upload the PDF

1. In Virtual TimeClock, export the Timecard Detail Report for the period as a PDF.
2. In Kloqk, click Timesheets, then Enter hours in bulk.
3. Pick the Pay period the report covers.
4. Click Upload a timecard PDF and choose the file.

Kloqk tells you how many days it read, for how many people, and how many landed in the period on screen.

Check what it read

• Each start and stop row becomes a shift. Break and Lunch rows become that shift's breaks and lunches.
• Names are matched to your roster by full name, or by last name when only one person has it.
• Anyone it could not match is listed as Not on your roster, and their hours are left out. Add them on Employees (spelled the same way) and upload again, or type their hours in.
• If the PDF covers different dates from the period on screen, Kloqk says so and leaves out the days outside the period.

Accept the hours

1. Change any cell you need to.
2. Click Review and accept.
3. Add a Reason (optional), such as "imported from Virtual TimeClock".
4. Click Enter these hours.

Good to know

• Only the Virtual TimeClock timecard report can be read so far. Any other PDF gets a message saying so; type those hours or paste them from a spreadsheet instead.
• A scanned or photographed timecard has no text to read, so it cannot be uploaded.
• Files over 10 MB are refused. Export a shorter period.
• The PDF is read the same way every time, row by row. Nothing is guessed.
• Breaks and overtime are worked out from your own rules in Settings > Payroll, which may differ from the old system's totals. See Break and lunch rules.
