Print the schedule or save it as a PDF

Download the week's schedule as a PDF to print and pin up, with holidays, closed days, birthdays and each person's hours.

On the schedule, click PDF. A PDF of the week on screen downloads, ready to print and pin on the wall or send to the team.

  1. In the sidebar, click Schedule and go to the week you want.
  2. If you have more than one location, click the location tab you want on paper. The PDF holds the people on that tab.
  3. Click PDF in the bar above the grid.
  4. Open the downloaded file and print it, or share it.

What is on the page

  • Your business name, the word Schedule, the week, the day it was printed and the time zone the times are in.
  • People down the side, by full name, and the seven days across, on a landscape page.
  • Each shift's times, with (+1) when it ends the next day. A shift that started the night before is shown on the morning it runs into, marked with >, and its hours are counted on the day it started.
  • A Total column for each person's week and a totals row for each day. Hours are the shift less any unpaid lunch, the same as on screen.
  • Holidays named on their day, and Closed on any day the business is shut.
  • Birthdays that week, by first name.
  • Page numbers on every page.

Good to know

  • The PDF has no pay on it, so it is safe to post where the whole team can see it.
  • The file is named with your business, the word Schedule and the week's first day, so a folder of them sorts by date.
  • It is a downloaded file, not a print dialog, so it looks the same from a phone, a tablet or the office computer.
  • Holidays come from the office calendar and from the holiday list on the Time Off page. Birthdays come from each employee's date of birth.
  • Printing the schedule is on every plan, including Free.

Questions people ask

Does the printed schedule show what people are paid?

No. It has names, shifts and hours only.

Can I print one location's schedule?

Yes. Click that location's tab on the schedule before clicking PDF.

Why is a holiday on the PDF when we're open that day?

Holidays are named on their day whether or not you close. Closed only appears when the day is marked closed.
