Work on the schedule, then publish it

Turn on Draft mode while you work on the week, then press Publish so your team sees it. Get a reminder if a week is still unpublished.

Normally a shift shows on your team's phones as soon as you add it. If you'd rather finish the week first, use Draft mode. It is free on every plan.

Turn on Draft mode

At the top of Schedule, tick Draft mode.

From then on, every new shift is a draft. It has a dashed border and says Draft. Only people who can edit the schedule see it. Your staff don't, and nothing automatic uses it: no late or no-show alerts, no auto clock-out, and it is not on the printed schedule.

Publish the week

The green Publish button shows how many drafts the week has. Press it, check the number, and press Publish again. The drafts go live for everyone with a login. On Pro, tick Email everyone their week first and each person whose shifts went live gets their week by email.

Next to the button you see when the week on screen was last published. With no drafts left the button turns grey and says Published.

If you have more than one location, Publish acts on the location tab you are looking at.

Remind me to publish

With Draft mode on, tick Remind me to publish and choose when: 1, 2 or 3 days before the week starts, or a week before. At 9 AM that day we email you if next week still has drafts. If everything is published, no email is sent. It goes to whoever ticked the box.

Changing a shift that is already published

A shift your team can already see stays visible when you edit it, and the change shows right away. The shift editor reminds you. Only new shifts wait for Publish.

Turn Draft mode off

Untick Draft mode. New shifts go live as you add them again. Any drafts already there stay drafts, and the Publish button stays until you publish them.

Questions people ask

Can my team see the schedule before I publish it?

Not the drafts. With Draft mode on, new shifts are hidden from staff until you press Publish. Shifts they could already see stay visible.

Do drafts cost extra?

No. Drafts and Publish are free on every plan. Emailing everyone their week when you publish is part of Pro.

I uploaded the week again from a spreadsheet. Did that hide it?

Shifts that came back unchanged stay published. New or changed ones are drafts until you publish, when drafts are on.

Can Kloqk remind me to publish the schedule?

Yes. With Draft mode on, tick Remind me to publish and pick 1, 2 or 3 days or a week before the week starts. We email you at 9 AM that day if the week still has drafts.
