Automatic clock-out for forgotten punches

Turn on automatic clock-out so people who forget to clock out are closed at their scheduled end time, marked so you can correct it.

Automatic clock-out closes a forgotten punch at the time the person's shift was scheduled to end. It waits a grace period first, so somebody working late can still clock out themselves at the real time. It is off until you turn it on.

Turn it on

  1. Go to Settings > Time clock.
  2. Under Automatic clock-out, tick Clock people out automatically when they forget.
  3. Choose Wait this long after the shift ends: 15, 30 or 45 minutes, 1 hour, 1.5 hours or 2 hours. It starts at 30 minutes.

How it decides

  • It only acts for somebody who has a shift on the schedule. No shift, no automatic clock-out.
  • The shift has to be the one they clocked in for: they clocked in during it, or up to four hours before it started.
  • It waits until the shift's scheduled end plus your waiting time has passed. Anyone still working before then is left alone.
  • It never clocks out somebody who is on a break or at lunch.
  • It records the clock-out at the scheduled end, not at the moment it ran.

Kloqk checks regularly, including while a time clock is open and whenever someone opens Timesheets, so it also works for crews who punch only from their phones.

Where you see it

On the timesheet, the day shows the clock-out with a red line underneath giving the reason: "Automatic clock-out at the scheduled end of the shift. No clock-out was recorded." It appears in the period's adjustments and the employee's Timesheet changes too.

Correct it when they stayed late

Automatic clock-out is for forgotten clock-outs, not for limiting hours. Time somebody actually worked has to be paid. If they stayed late:

  1. Open Timesheets and click Edit times on the person.
  2. Click Edit on the day, change the Clock out time and add a reason.
  3. Click Save changes.

Good to know

  • It needs shifts on the schedule. Scheduling is free. See Create shifts.
  • For an overnight shift, the scheduled end on the next morning is used.
  • People without a scheduled shift still show No clock-out on the timesheet until someone fixes it. See Missing clock-outs.
  • To stop it, untick the box. Clock-outs it already recorded stay until you change them.

Questions people ask

Will automatic clock-out cut off hours people actually worked?

It is not meant to. It waits until the grace period after the scheduled end, so anyone working late can clock out themselves. If someone stayed later still, correct the entry so they are paid.

Does it work without a schedule?

No. It only acts for people who have a shift on the schedule.

What time does it put on the clock-out?

The time the shift was scheduled to end, not the time the check ran.

Does it clock out people on lunch?

No. It never acts for somebody who is on a break or at lunch.
