See an employee's pay history

Open the Pay tab on any employee to see every rate they have had and what each pay period came to in hours and gross pay.

Open the employee and click the Pay tab. You get every pay rate they have had, and a table of each pay period with their hours and estimated gross pay.

Open the pay history

  1. In the sidebar, click Employees and open the person.
  2. Click the Pay tab.

Pay rate changes

A list of every rate, with its type (Hourly or Salary) and the date it took effect. The one in force today is marked Current. A rate change is always added, never written over. See pay rates and raises.

Pay by pay period

At the top: this year so far, paid hours and overtime. Below, one row per pay period with Regular, Overtime, Double time and Time off (when there are any), Paid hours, Rate and Gross pay.

Under each period's dates you see where it stands:

  • In progress: the period you are in now.
  • Saved with a date: the period has ended and its figures were saved that night.
  • Not saved yet, shown from the hours as they stand: an ended period still waiting to be saved.
  • Hours or pay were changed after this was saved: someone corrected hours afterwards. The row shows what it is now beside what was saved.

Click a period to open its hours.

Update a saved period

Saved periods do not change on their own. When hours were corrected after a period was saved, a person allowed to edit pay can click Update the saved record on that row to replace it with today's figures.

A period with a missing clock-out

If a punch in the period has no clock-out, that row says so and its hours are not counted. Enter the clock-out on the timesheet and the period is saved the following night. See missing clock-outs.

Good to know

  • The figures come from the same calculation as the Payroll report, so the two always agree.
  • Amounts are estimated gross pay before tax. What was actually paid is in your payroll provider.
  • Free shows pay periods from the last 90 days. Older periods are still kept, and the tab says how many. Pro ($29 per location per month) shows the full history.
  • Salaried people have a row for every period with pay in it, even with no punches.
  • If you change your pay period, periods already saved keep their old dates.
  • The Pay tab only appears for people allowed to see pay.

Questions people ask

Why does an old period say hours were changed after it was saved?

Someone corrected punches in that period after it ended. The row shows both figures. Click Update the saved record to keep the new one.

Is this what the employee was actually paid?

It is an estimate of gross pay before tax from their hours and rate. The amount actually paid is in your payroll provider.

Why can't I see periods from last year?

Free shows the last 90 days. Earlier periods are kept, and Pro shows the full history.

Why isn't last week's period saved?

Periods are saved the night after they end. A period with a missing clock-out waits until the clock-out is entered.
