What happens when the time clock goes offline

Understand what the time clock does without internet, how to tell a clock is offline, and how to enter the punches that were missed.

The time clock needs an internet connection to record a punch. If the connection drops, the punch is not saved and the clock says so, so nobody walks away thinking they clocked in. Once the connection is back, punching works again, and you can type in any times that were missed.

What staff see

If a punch cannot reach Kloqk, the clock shows No connection. Check the network and try again. The punch is not stored on the tablet to send later. Ask staff to try again in a moment, or to tell a manager if it keeps failing.

When the connection comes back, the screen refreshes itself so it shows the current state.

How to tell a clock is offline

  1. Click Time Clock in the sidebar.
  2. Under each location, Installation Locations lists its screens with a status:
    • Open now: the clock checked in within the last few minutes.
    • Offline, with when it was last seen: a closed tab, a sleeping tablet, or no internet.
    • Paused: an admin took that screen back to use as a normal browser. Open the time clock there again to resume.

Get it back online

  1. Check the tablet's Wi-Fi or data connection.
  2. Wake the screen, and set the tablet not to sleep while plugged in if it keeps going offline.
  3. If the clock tab was closed, open the time clock on that screen again with your time clock address and code.

Enter the punches that were missed

  1. Go to Timesheets and click Edit times on the person's row.
  2. Click Edit on the day, or pick a date under Add or fix punches on another day and click Open.
  3. Click Add punch, choose the punch type and time, and add a Reason (optional) such as "internet was down".
  4. Click Save changes.

Good to know

  • A manager with a phone can still record punches from the dashboard by typing them on the timesheet.
  • Crews punching from their own phones on the Field Time Clock use mobile data, so a shop's Wi-Fi going down does not stop them.
  • Every typed-in punch is marked as edited, with who added it and why.

Questions people ask

Does the time clock store punches offline and send them later?

No. A punch needs a connection to be saved. Without one, the clock says No connection and the punch is not recorded, so staff know to try again.

How do I know if a tablet stopped working?

On the Time Clock page, each screen shows Open now, Offline with when it was last seen, or Paused.

How do I add punches missed during an outage?

Open Timesheets, click Edit times on the person, then Edit on the day and Add punch. Add a reason so the record explains it.
